Vendor Process: Managing & Delivering Orders

Managing and delivering orders can feel like a lot of moving pieces.

Seller pick-up is a big day and we want to make sure it goes as smoothly as possible for everyone involved!

We’ve put together this quick reference guide for using your Vendor Dashboard and preparing for your next delivery.

Running Fundraisers: Managing & Fulfilling Your Orders

 

When you log in to the MyTeamFund Dashboard, you will see the current ongoing orders.

From the dashboard, you can see tabs such as:

  • Fulfillment: where you will go to confirm and print labels and packing slips
  • Orders on the go; where you can view orders by fundraiser or see which orders still need to be confirmed
  • Products; where you can see what products of yours we are currently selling and volume sold.

Step 1: Login to your dashboard: https://dashboard.myteamfund.ca/admin/deliveries

Step 2: View the tabs on the left side> “Orders on the go” > “by fundraiser”  To see orders coming into your pipeline 

This will show you any outstanding orders that are not yet complete (i.e. the fundraiser is currently running).

Under “Products Sold” you can see the volume sold – you are welcome to come here as many times as you’d like to see if orders are growing!

You will also have access to some private information that should not be shared (such as the organizer contact).

Should something happen last minute and you are not able to contact TeamFund, you can find the organizer contact on within your dashboard. 

 

Step 1: Confirming the Order (Once it's closed)

 

 Campaigns generally “close” Monday to Thursday at 11 pm. This means that the next business day, you will get an email asking to “Confirm” the order. This is to ensure that they vendor fulfills the order and has scheduled the delivery on your end

Most of your time in the dashboard will be spent in the Fulfillment Tab. This is where you will find any orders that are ready to be prepared for delivery.

 

In the far right, there is an “Action” Column. 

If an order still needs to be confirmed, there will be a purple button that says “to be confirmed.” 

Once you click this button, it will turn to a green “Confirmed” button.”

 

P.S. You can also find orders yet to be confirmed under the “Orders on the go” > “Confirm Required” section.

 OUT OF TOWN ORDERS:

Any orders “out of town” will be indicated by a green truck* in the “Orders on the go” > “by fundraiser” section.

*The truck will be red if you have not confirmed the order.

 

 

Step 2: Printing Labels - Placing on Boxes

It’s time to print the labels once the order has been confirmed and you’re close to delivery day!

 

To print:

Use AVERY 5159 Labels (or equivalent)

 

The Labels need to be placed on EACH product according to their product code (See Photo below)

The print labels and packing slip are in the “Fulfillment” tab.

  • Labels must go on all products and should match the product
  • Labels are automatically generated for each fundraiser
  • You can print fresh or frozen or both at the same time

On the labels, you will find:

  • A01 (02, 03, etc.): Internal (TeamFund) Product Number
  • Delivery Date: The date and time of delivery
  • Product Code: If different from TeamFund, you will also see your vendor product code
  • Product Name: The name of the product.

 

It is also important to print the Packing Slip*, as you will need to bring ityour delivery.

*When printing the packing slip, ensure there is only TeamFund information, as this is the packing slip that the customer will have on delivery as well. 

Step 3: Delivery Day: Call ahead from driver or transportation

For all Zone 2-5 deliveries

TeamFund instructs the customer awaiting the order to expect a call from either the driver or the transportation department.

We do this to narrow their delivery window, which can only be done the day before (or the night before when loading the order).

Early or late arrivals:

If, for some reason, the driver arrives early or later than expected, ASK the customer if it’s OK to arrive early.

If you will be late, please announce that ASAP so they can prepare. 

Communication is KEY

Step 4: Delivery Day: Delivering the Order on Time

It’s time for delivery day! The driver is en-route with the order ready in the truck.

The driver should have on hand:

  • The items for the order
  • The right tools to unload the order (Dolly, tailgate, ramp…)
  • TeamFund Packing Slip
  • Cell phone to call ahead or to locate the customer on the packing slip

Delivery windows will vary for each order—anything from a 30-minute window to an 8-hour window.

All ZONE 1 deliveries: 30 Mins window

Zones 2-5 will have anywhere from a 3 to 8-hour delivery window.

The driver will have 15 mins grace period BEFORE the delivery window and AFTER:

Zone 1 example:  if your delivery is at 4:45 PM, you may arrive between 4:30 and 5:00. 

Zone 2-3-4 example: If your delivery is between 11 a.m. and 2 p.m., you may arrive between 10:45 and 2:45 p.m. 

If you will be late, contact the organizer and let them know ASAP. Accidents, traffic, and conditions happen on the road, but calls helps reduce frustrations.

The organizer will be waiting for you at the delivery location.

Once on site:

Drivers do not need to enter buildings, take stairs, or go through doors, as the organizers know the delivery will occur outdoors.

Meet the customer and kindly ask where they would like the order unloaded.

Typical locations area: Arena, parking lot, commercial space, church, schools….Some have home deliveries.

Always be safe when parking and unloading.

If you are early and the organizer has not yet arrived, do not deliver to anyone else.

The driver can contact them if they have not arrived within your delivery window.

Make a note of the TOTAL ITEMS as you start to unload.

The organizer and some volunteers will start unloading the order, organizing boxes into columns, and ensuring the item count is correct.

The driver may NOT leave until all products are organized and accounted for. They must match the packing slip.

Once organized, the organizer will sign the packing slip and scan the QR code to confirm the delivery.

At this point, you can leave. (thank you for all your hard work!)

Step 5: Don't forget to scan the QR Code before you go!

Once everything is organized, don’t forget to scan the QR code before you go to confirm the delivery!

Potential Problems / FAQ

1. Having trouble finding the location?

 Call the customer or contact your transportation department.

2. What do I do if the truck breaks down?

 Communication is KEY! Call your team lead at GFS, to let TeamFund know and CALL THE CUSTOMER!

 

3. I’ve arrived, and the organizer isn’t here yet. Can I deliver to someone else?

Only deliver to the organizer. It is critical to ensure the order is correct before leaving, and they are the ones who know the pickup process.
